Dainamic vzw attaches great importance to protection of your personal data and respect for
your privacy.
In this Privacy Statement we want to provide clear and transparent information about the
way in which we handle your personal data.
We make every effort to ensure your privacy and therefore handle personal data with care.
Dainamic vzw always complies with applicable laws and regulations, including the General
Data Protection Regulation (GDPR).
This implies that we at least:
• always process your personal data confidentially in accordance with the purpose for
which it was provided. These goals and type of personal data are described in this
Privacy Statement;
• limit the processing of personal data to only those data that are minimally required for
the purposes for which they are processed;
• ask for your express consent if we need it for the processing of your personal data;
• ensure appropriate technical and organizational measures are taken for the security of
your personal data;
• will not provide personal data to third parties nor to use them for marketing and
advertising purposes, unless this is necessary for carrying out the purposes for which
they were provided;

Who is this privacy statement aimed at?
This privacy statement applies to all of our current and former members, participants in
activities, people who show interest in our activities, services or products, customers and
prospects, suppliers.
Why do we process personal data?
Your personal details are processed by us, dainamic vzw, for the following purposes and
legal grounds:
• invoicing,
• managing the lease of the licenses,
• collecting statistical data from trial versions,
• providing technical support.

What data is stored by us for paying licenses:
When using our web shop, we obtain certain information from you, this information may be
personal or other data that are necessary for the purchase of our products.
We only keep and use the data that is directly passed on by you
during the purchase of a certain product and this only for invoicing and support purposes.
For network licenses, the following information is requested:

• name
• address
• name contactperson
• reference number
• telephone number
• e-mail address
• VAT number
• network configuration
• number of users
The following information is stored for home licenses:
• name
• address
• telephone number
• e-mail address
• VAT number
Additional information may be requested for administrative reasons:

• start date
• expiration date
• support info
All collected data is stored in an Excel file, which is stored in a subversion repository on our
dainamic server with secure access.
During the installation, certain data such as - mentioned above - may be requested again.
These are then stored on the CopyMinder license server with secure access.
This information is only used for checking the agreement with the order.
Which data is stored by us for trial licenses:
During the installation of the trial version of one of our products we obtain certain
information from you.
This information may be personal or other data that is necessary for our products.
We only keep and use the data that is directly passed on by you
during the installation of a trial license and this only for anonymous static info.
During the installation of the trial versions, the following information is requested:
• name
• address
• e-mail address
All collected data is stored on the CopyMinder license server with secure access, the
collected data will not be provided to third parties.
This data is not used for marketing and advertising.
Provision to third parties
We may provide the information that you give to us to third parties if this is necessary for the
execution of the above described purposes.
We use a third party ie CopyMinder for:
• checking the agreement of paying licenses
• collecting statistical data from trial versions for own purposes

We also use a third party, namely Tele-Line Videotex Services vzw for the provision of
server space concerning our web pages, Subversion control system and email processing
as well as the maintenance of the services provided by this party.

With these external service providers, we have made the necessary arrangements to
ensure the security of your personal data.
We never pass on personal data to other parties with whom we have not entered into a
processor agreement.
Furthermore, we will not provide the information you provide to other parties, unless this is
legally required and permitted.
This may be the case, for example, when (personal) information is requested from us in the
context of an investigation by legal services.
In such a case, we must cooperate and are therefore obliged to pass on these details.
At no time do we sell or rent your personal data to third parties.
We never pass on your contact details to third parties for commercial purposes.
We will only share personal data with third parties if you give us permission in writing.
You have the right to revoke this consent at any time, without this affecting the lawfulness of
the processing for the cancellation thereof.
Your personal data can be transferred to countries outside the European Economic Area
but will be protected in accordance with European privacy regulations.
Storage period
Dainamic vzw does not store personal data any longer than is necessary for the realization
of the purpose for which it was provided, taking into account the period that is necessary to
comply with the legal requirements (in the area of accounting, among other things).
However, retention periods may differ for each purpose.
Security of the data
We take appropriate technical and organizational measures to protect your personal data
against unlawful processing, including:
• only members of the general assembly of the non-profit organization are allowed and
can view and change the data;
• these members are granted access to your data to the extent that they need this
information to perform their tasks properly;
• they have been informed of the importance of the protection of personal data and
are bound to confidentiality;
• we ensure the encryption of personal data if there is reason to do so;
• we make back-ups of the personal data in order to be able to recover these in the
event of physical or technical incidents;
• we regularly test and evaluate our measures;
• for new projects that may have an impact on your privacy, an extensive analysis is
done to guarantee your rights, the security and the protection of your personal data.
Your rights regarding your data

You have the right to inspect, correct or remove the personal data we have received from
you.
The contact details at the top of this privacy statement contain the necessary information
about how to contact us.
You can also always object to the processing of your personal data (or a part thereof) by us
or by one of our processors.
You also have the right to have the data provided by you transferred by us to you (or in your
direct assignment to another party). We can ask you to identify you before we can comply
with the aforementioned requests.
To prevent abuse, we can request adequate identity.
To check your identity, we ask you to add a copy of the front of your identity card to your
application.
We strongly advise you to make your passport photo invisible and to mention that it is a
copy.

Should you, despite all our efforts, have a complaint about the processing of your personal
data, we ask you to contact us directly.
